Margin notes, comments and change suggestions

Available Free Last reviewed: 24 Oct 2026

Margin notes, comments and suggestions live in the context panel; nothing changes the text without your confirmation.

What is it for?

Three tools in the context panel of the editor help with working on the text together. Margin notes are notes on a selected passage of text, private or as an agreement with co-authors. Comments are conversations with replies about the chapter. Change suggestions are insertions or deletions that someone proposes.

None of this changes the text on its own. You accept a change suggestion with “Accept” or turn it down with “Reject”. You triage comments: turn them into a TODO, mark them as done or discard them.

Margin notes stay at their passage of text, even if you change text before it. Deleted margin notes go to the trash and can be restored. Guests with editorial access can create change suggestions.

How it works

  1. Select a passage of text in the editor and choose “Note” in the toolbar.

What you see afterwards: The “New marginal note” dialog opens. Without a selection, it says “Please select some text in the editor first.”

  2. Choose the “Type”, “Private” or “Co-author discussion”, enter the “Note text” and save.

What you see afterwards: The margin note is attached to the passage of text.

  3. In the “Comments” section, write a comment or choose “Reply”.

What you see afterwards: The comment appears in the thread.

  4. In the “Edit suggestions” section, choose “Accept” or “Reject” for a suggestion.

What you see afterwards: The suggestion is applied to the text or rejected.

Who can do this?

Owners and co-authors use margin notes and comments and accept or decline suggestions. Guests with editorial access create change suggestions. A guest cannot see margin notes, not even with a share. Only owners and co-authors triage comments.

Your data

Margin notes, comments and suggestions belong to the project and are backed up with it. Only owners and co-authors see the email address of people who comment or make suggestions; everyone else sees the display name.

Limits

A margin note needs a selected passage of text. “Private” stays with you, and co-authors see a “Co-author discussion”. A suggestion names an insertion of at most 10,000 characters or a deletion. If the chapter has changed since then, Illumentis checks the version number instead of changing blindly.

Frequently asked questions

What is the difference between “Private” and “Co-author discussion”?

Only you see “Private”. A “Co-author discussion” goes to co-authors as a suggestion, and with “Show staging notes” you show or hide it.

Can a guest see margin notes?

No. Margin notes are author tools and are not part of a share, not even at the highest level.

What happens to a comment that I turn into a TODO?

It gets the status “Converted to TODO”, and an entry is created in the TODO list. Alternatively, you mark it as “Done” or “Discarded”.
