Shares and beta readers

Available Free Last reviewed: 24 Oct 2026

With shares, you give guests, such as beta readers, a limited part of your story to read.

What is it for?

Shares are meant for guests who are not supposed to write along, such as beta readers. They get a reduced view of their own. For people who write along, use co-author management instead. The “Sharing” page lists all shares granted, with recipient, scope, permission level, expiry date and status.

You decide who sees what: “Whole story” releases the chapter and scene text of a book, “Single object” a character, location, faction, chapter, glossary term or rule. The permission level is “Read only” or “Read + comment”, with an expiry date if you want one.

A share can be revoked, and access then ends immediately. What someone has already seen cannot be taken back. The access log shows who viewed or commented on what, and when.

How it works

  1. In the “Collaboration” group, open “Sharing” and choose “New grant”.

What you see afterwards: The “New grant” dialog opens.

  2. Choose the recipient: “Existing user” with DisplayName#Tag, or “Invite by email”.

What you see afterwards: The recipient is entered.

  3. Choose the “Scope”, “Whole story (one book)” or “Single object”, the “Permission level” and optionally “Expires on”.

What you see afterwards: For “Whole story”, a warning appears, which you confirm.

  4. Save the share.

What you see afterwards: The share appears in the list with the status “Active”.

  5. If needed, choose “Revoke” or open the “Access log”.

What you see afterwards: Access ends immediately, or the log shows the accesses.

Who can do this?

Owners and co-authors with rights create, change and revoke shares and see the list and the access log. Only the owner can send an invitation for editorial or publisher access. Guests cannot manage shares.

Your data

Shares, their status and the access log belong to the project. The log lists Name#Tag, action, object type and time. People invited by email receive an invitation email at the address you entered.

Limits

By default, without a studio subscription, at most 2 active shares per account are possible. The operators can change these values; Illumentis tells you the value currently in force in the app once you reach the limit. A share of the whole story exposes the chapter text of the book and does not share characters and locations. Creating shares is also limited by frequency.

Frequently asked questions

What is the difference between “Whole story” and “Single object”?

“Whole story” releases the chapter and scene text of a book. Characters, locations and other items are not shared with it, and each needs a share of its own. “Single object” is limited to one object.

What happens when I revoke a share?

Access ends immediately. What someone has already seen cannot be taken back. The share shows the status “Expired/revoked” and can be resumed with “Reactivate”, with a new permission level and a new expiry date.

Why does a share say “Blocked by module setting”?

The module that the shared object belongs to is switched off in the project. The share remains and takes effect again as soon as the module is switched on.
