Research board

Available Free Last reviewed: 24 Oct 2026

In the research collection you gather notes, links and images for your project, private or for the team.

What is it for?

Material piles up while you write: an article about medieval ships, a photo as a model for a character, a note about an idea. In the research collection you keep all of it in one place, separate from the manuscript. Every entry has a type, note, link or image, and a content.

If you like, you link an entry to a character, a location, a faction or a language. That way you find the material again where you need it. In the editor, you reach the collection as the “References” tool.

Every entry is either private or visible to the team. New entries are visible to the team at first. With a button, you switch the visibility of each entry.

How it works

  1. In the tools group, open the “Research collection” and choose “New entry”.

What you see afterwards: A dialog asks for the type and the content.

  2. Choose the “Type” and enter the “Note”, the “Link URL” or the “Image URL”.

What you see afterwards: Depending on the type, the matching field appears.

  3. If needed, choose a character, location, faction or language in the “Linked to” field.

What you see afterwards: The entry is linked; “— none —” leaves it unlinked.

  4. Save the entry.

What you see afterwards: It appears in the list with the “Team” badge.

  5. If needed, choose “Make private”.

What you see afterwards: The badge changes to “Private”, and others no longer see the entry.

Who can do this?

Owners and co-authors with the right permissions create, edit, delete and restore entries. Only the person who created a private entry sees it. All contributors see a team entry. Guests do not see the collection.

Your data

Entries belong to the project and are backed up and exported with it. For an image, Illumentis stores only the address, not the image. If the list shows the preview, your browser loads the image directly from the external server, which sees your IP address. Use images only from sources you trust.

Limits

Images and links are web addresses: Illumentis does not upload any files. The preview appears only for images. The collection is not part of a share, not even at the highest level. There is no limit on the number of entries in the Free plan.

Frequently asked questions

Who sees my entries?

By default the whole team, because new entries are visible to the team. With “Make private”, only you see the entry. With “Make visible to all”, you share it again.

Can I upload an image?

No. For an entry of the type “Image”, you enter an image URL. Illumentis stores only the address.

Why does someone else not see my private entry in the trash?

The visibility rule also applies in the trash: you see your own entries and the team entries, not the private ones of others.
